South Asian Wedding Décor Timeline: 12-Month Planning Checklist

Updated October 2026 by Dream Decorators — 19+ years designing Punjabi, Sikh, Hindu and fusion weddings across Surrey, Vancouver and the Lower Mainland.
A South Asian wedding is not one event — it is a Roka or engagement, a Maiyan or Haldi, a Mehndi, a Sangeet or Jaggo, a ceremony at a gurdwara, temple or mandap, and a reception for hundreds of guests. Each one needs its own look, and many happen in different places within the same week. Couples who start décor planning early get their first-choice dates, more design options and calmer budgets. Couples who start late usually end up taking whatever stock and crews are left.
This checklist walks through décor decisions month by month, from 12 months out to the morning after the reception. It is built around the Lower Mainland wedding season, when May to September Saturdays book first. For the bigger picture beyond décor, read our Indo-Canadian wedding planning guide and the 2026 Indian wedding cost guide.
12 months out: set the foundation
Your décor depends on three things you need to settle first: dates, venues and guest count. Until those are fixed, a decorator can share ideas but can't quote accurately or hold your date.
Checklist
☐ Confirm which events you are hosting (Roka, Maiyan, Mehndi, Sangeet, Jaggo, ceremony, reception) and which are at home versus a venue.
☐ Book ceremony and reception venues; ask each for décor rules, load-in times and whether outside decorators are allowed.
☐ Set an overall décor budget per event, not just one total, so the reception doesn't quietly absorb the Maiyan budget.
☐ Start a shared mood board per event: colours, textures and two or three must-have photo moments.
BC note: popular Surrey and Vancouver banquet halls often book 12–18 months ahead for peak Saturdays. Fringe-season dates (October–April) and Fridays or Sundays give you more flexibility and can lower costs.
10–11 months out: book your decorator
Peak-season decorators fill their calendars around the same time venues do. Booking early locks your date and gives you time to design properly instead of picking from what's left.
Checklist
☐ Shortlist decorators with experience in your traditions — a Sikh Anand Karaj, a Hindu mandap and a Punjabi home Maiyan each have different needs.
☐ Ask to see real work at your venue or a similar-sized room, not just styled shoots.
☐ Confirm what's included: setup and teardown, delivery, staffing, lighting, and whether pricing covers multiple events.
☐ Book a consultation and secure your date with a deposit. See our guide to choosing an Indian wedding decorator.
8–9 months out: design the big pieces
This is when the ceremony and reception take shape. These two events carry the largest installs, so get them right before you think about smaller events.
Ceremony décor
☐ Choose your ceremony structure: a mandap style for Hindu ceremonies (see 2026 mandap styles), or palki sahib florals and sangat-hall touches for a Sikh Anand Karaj.
☐ Check ceiling height, stage depth and any rigging rules before committing to domes or hanging installs.
☐ Plan the aisle, entrance and family seating, and ask whether the ceremony space needs to turn into the reception room the same day.
Reception décor
☐ Choose a stage concept and colour palette (our 2026 colour palette guide can help).
☐ Decide on ceiling treatments, centrepieces, the head or sweetheart table, the entrance and the photo backdrop.
☐ Ask about backdrop and décor rentals for pieces you don't need to buy.
6–7 months out: plan the pre-wedding events
Maiyan, Haldi, Mehndi, Sangeet, Jaggo and Dholki are often held at home or in smaller halls, and they're usually packed into the days just before the wedding. Planning them together lets you share pieces across events and keeps crews from rushing between installs.
Checklist
☐ Set a look for each event: yellow and marigold for Maiyan, greens and jewel tones for Mehndi, bold and high-energy for Sangeet. See mehndi décor ideas and sangeet décor trends.
☐ For home events, measure living rooms, driveways and backyards. Plan tent size, power and a rain plan — BC weather can change quickly. Our Punjabi home wedding guide covers the details.
☐ Gather Maiyan items early using our Maiyan items checklist.
☐ Ask your decorator which backdrops, drapes or lighting can be reused across back-to-back events to save money.
4–5 months out: confirm logistics with venues
Good décor can still go wrong on the day if logistics aren't nailed down. Most install-day problems we see come from questions nobody asked the venue.
Checklist
☐ Get written load-in and teardown times for every venue, including how late the décor team can stay.
☐ Confirm fire rules for candles, open flame, fog and confetti — many halls restrict these.
☐ Share the floor plan and table count with your decorator and caterer at the same time so they match.
☐ For gurdwara and temple ceremonies, confirm what décor is allowed inside and what must stay outside or at the entrance.

2–3 months out: finalise the details
Checklist
☐ Approve final design plans, renderings or mock-ups for each event.
☐ Lock fresh flower choices, which depend on the season, and agree on substitutions if a flower isn't available.
☐ Finalise signage: welcome signs, seating charts, monograms and neon names.
☐ Order personal items you're supplying yourself (favours, family photos, heirloom pieces) and tell your decorator where they go.
☐ Review your budget against the final quote and decide where to trim or upgrade.
1 month out: lock everything in
Checklist
☐ Send final guest count and table layout to your decorator.
☐ Confirm the full event-week schedule: who is installing where, and when.
☐ Name one family point person for each event who can answer décor questions on the day — not the couple.
☐ Settle remaining payments according to your contract.
Wedding week: install, enjoy, tear down
Checklist
☐ Keep home event spaces clear for install the day before or morning of.
☐ Make sure the family point person has the decorator's phone number.
☐ Do a quick walkthrough before guests arrive so small fixes happen before photos start.
☐ Collect personal items at the end of each night before teardown.
The morning after
☐ Return any borrowed items and confirm rental pickups.
☐ Send your photographer's best décor shots to your decorator — and leave a review if you were happy. It genuinely helps small local businesses.
Short on time? A compressed timeline
Not every family has 12 months. If your wedding is 4–6 months away, book your decorator and venues in the same week, choose from your decorator's existing designs rather than fully custom builds, and plan pre-wedding events together. Off-season and weekday dates are often still available at short notice.
If you are under 3 months, focus on the two or three moments that matter most in photos — usually the ceremony, the reception stage and the entrance — and keep the rest simple. Call us; we can often help with short-notice dates.
FAQ
When should I book a wedding decorator for an Indian wedding?
For May–September Saturdays in the Lower Mainland, 10–12 months ahead is ideal. Off-season or weekday weddings can often be booked 4–6 months out.
What should I decide before meeting a decorator?
Your event list, dates, venues, approximate guest counts and a rough budget for each event. Colours and inspiration photos help, but they can come later.
Can the same décor be reused for multiple wedding events?
Often, yes. Backdrops, draping and lighting can be restyled across back-to-back events like Mehndi and Sangeet, as long as teardown and setup times allow.
How far ahead should we plan Maiyan and Mehndi décor?
Start 6–7 months out, especially for home events that need tents, power or rain plans. Book rentals 3–6 months ahead for peak season.
